How is a recommendation made?

For every possible meeting point, Coloqa calculates the whole team’s cost, travel time and CO₂ and weights them by your priorities.

What goes into the comparison

  • Cost

    Outbound and return travel plus hotel for everyone who travels. People who live at the meeting point do not travel and need no room.

  • Travel time

    Outbound and return journey, averaged per team member; people who live at the meeting point count as zero minutes. The stay itself does not count as travel time.

  • CO₂

    Emissions of every trip, calculated with recognised methods such as Google’s Travel Impact Model and the German Environment Agency’s figures.

Coloqa compares the offers of the connected providers for your possible meeting points and dates. Without door-to-door planning, travel time runs from station or airport to station or airport; with door-to-door planning, from the office to the meeting point.

How the recommendation is made

  1. Find suitable journeys

    For every possible meeting point, Coloqa searches outbound and return journeys for every person that fit your dates and the plan’s travel limits: maximum duration, changes and earliest departure. If one person has no suitable journey, or prices or CO₂ figures are missing, the place is left out.

  2. Weight

    You decide how much cost, travel time and CO₂ count: as a preset or freely in percent, 100 % in total. “Balanced” weights all three almost equally, at 34, 33 and 33 %.

  3. Make them comparable

    Coloqa converts the team figures into fixed units: €100 (or CHF 100) of travel cost, one hour of one person’s travel time and 100 kg of CO₂. Multiplied by your weights and added up, this gives one score per meeting point; the lowest wins. With “Balanced”, one hour of travel time is therefore worth about €97.

  4. Four results

    You see the best option by your weighting and, next to it, the cheapest, the fastest and the lowest-emission option. If one place wins several criteria, it appears once with all its awards. Ties are decided by cost, then travel time, then CO₂.

What is available today

Booking

Flight and hotel booking are built into Coloqa, through the providers enabled for your organisation. For now, bookings run on the providers’ test access; we agree with you during the pilot project when you start booking for real. Coloqa compares train connections too; for now you book the ticket with the operator.

Door to door

Coloqa plans the whole journey from the office to the meeting point, including the way to the station or airport and suitable time buffers. We enable door-to-door planning for selected organisations.

Security & data protection

  • Run in Frankfurt

    The database (Supabase), server functions (Vercel) and error monitoring (Sentry) run in the Frankfurt am Main region. Some service providers, for example for sign-in (Clerk) and background tasks (Trigger.dev), store data in the USA; every transfer is safeguarded by the EU-US Data Privacy Framework or standard contractual clauses.

  • Separated by organisation

    Every table carries your organisation. Row level security in Postgres prevents one organisation from reading or changing another organisation’s data.

  • Processing on your behalf

    We process your planning data on your behalf under Art. 28 GDPR, with the service providers named in the privacy notice. We sign the data processing agreement with you before the start. Travel profiles are stored encrypted.

  • No card data

    Coloqa neither collects nor stores credit card data; bookings run through the booking providers’ accounts. You share a decision memo as a link that is valid for at most 30 days and can be revoked earlier.
