Your questions about Coloqa
What Coloqa compares, what you can book today and how your team gets started.
Coloqa & your team
What is Coloqa?
Coloqa finds the right meeting point for your project team and plans the trips to it. You compare possible meeting points by travel cost, travel time and CO₂ – starting from every participant’s office – and get travel and a hotel for every person.
How the product works.Which teams is Coloqa for?
For consultancies whose project teams come together from several offices for project weeks, kick-offs and internal workshops – whether the meeting point is still open or already set. The pilot project is currently aimed at consultancies with 50 to 300 consultants. If you plan meetings for another team, feel free to write to us through the contact form.
Coloqa for consultancies. We already have a travel agency or a travel tool – does Coloqa fit in?
Yes. Coloqa starts before the booking: it compares which meeting point suits the whole project team best by cost, travel time and CO₂, then puts together connections and hotels for every person in line with your travel policy. You then book through your travel agency or travel tool, or directly in Coloqa where booking is enabled for your organisation. There is currently no interface to existing travel agencies or travel tools.
What Coloqa adds. What do you need for a plan?
All you need are the participants, a travel period and possible meeting points. Coloqa takes the home offices from your employee list. Personal travel preferences and your priorities for cost, time and CO₂ make the recommendation an even better fit.
Comparison & methodology
How is a meeting point recommended?
For every possible meeting point, Coloqa searches outbound and return journeys for all participants that fit your dates and the plan’s travel limits. The team’s cost, travel time and CO₂ are weighted by your priorities; the meeting point with the best overall score is the recommendation.
The calculation in detail.Which offers does Coloqa compare?
For every meeting point, Coloqa searches the flight, train and hotel offers of the connected providers for your dates. That way the recommendation is built from real, current travel options.
What does door-to-door planning cover?
Coloqa plans the whole journey from the office to the meeting point, including the way to the station or airport and suitable time buffers. We enable door-to-door planning for selected organisations.
Methodology & availabilityHow should I read the CO₂ figures?
We use recognised standard methods: flight emissions come from Google's Travel Impact Model or straight from the booking provider, rail journeys from the operator's data or the German Environment Agency's averages. Wherever we make assumptions, we flag them openly. That way you can see at a glance how your options compare on CO₂.
Prices & booking
What does Coloqa cost?
The first two pilot projects are free. In return, we ask for feedback and, if successful, a testimonial. We name the price for the time after the pilot project before it starts.
More about the pilot projectCan you book flights, trains and hotels directly?
Flight and hotel booking are built into Coloqa, through the providers enabled for your organisation. For now, bookings run on the providers’ test access; we agree with you during the pilot project when you start booking for real. Coloqa compares train connections too; for now you book the ticket with the operator.
More on availability. How is payment handled?
Bookings in Coloqa run through the booking providers’ accounts; Coloqa neither collects nor stores credit card data. We agree with you before the pilot project starts how the travel costs of your bookings are settled. For now, you pay for train tickets directly with the operator.
How current are the displayed prices?
Coloqa shows the providers’ current offers. Before you book, you see the final price, the included services and the fare conditions. A trip is firmly booked as soon as the provider confirms it.
What does Coloqa use historical prices for?
Even before current offers are in, prices of comparable trips give you a good orientation for budget and meeting point. Coloqa marks these values as estimates so you can tell them apart from current offers.
Getting started & data
How does the pilot project work?
The pilot project runs for 90 days: after an initial call we set up Coloqa together with you, you plan real project meetings, and at the end we review the results together.
Steps and servicesHow does our team get started with Coloqa?
In three steps: add your offices, bring in your people via CSV or Excel import or connect your HR system, and invite your colleagues. In the pilot project we set this up together with you.
More about the pilot projectWho can access our planning data?
Only your organisation. Row level security in Postgres separates every organisation’s data, and only admins change settings such as the travel policy, approvals and imports. If needed, you share a decision memo as a link that is valid for at most 30 days and can be revoked earlier.
Security & data protectionWhere is our data stored?
The database, server functions and error monitoring run in the Frankfurt am Main region. Some service providers, for example for sign-in and background tasks, store data in the USA; every transfer is safeguarded by the EU-US Data Privacy Framework or standard contractual clauses.
All service providers in the privacy notice. How do trips get into the calendar?
Each person connects their Google or Outlook Calendar or subscribes with their Apple Calendar. Their own trips then appear there automatically.
