What does a team meeting really cost?

Add up return journeys, overnight stays, transfers, room hire and catering for the whole team. Keep an additional buffer separate. The cheapest ticket price alone shows neither the full budget nor the cheapest meeting point.

Which costs belong in the calculation?

Team costs = return journeys + hotels + transfers + room hire + catering.

Record each item exactly once. A hotel package may already include breakfast or a meeting room. Plan the actual nights per person; local participants may not need a hotel. Also check whether taxes, booking fees and necessary extras are included in each amount.

To compare possible meeting points, keep dates, people and scope the same. Compare offers in the same currency and with the same treatment of taxes. Note the date of the prices, because later bookings can cost something else. Which places to compare in the first place is described in the meeting point guide.

Which items are often forgotten?

  • Extra nights: anyone who can only make an early start by arriving the evening before needs another night.
  • Local travel: taxi or public transport between station, airport, hotel and venue.
  • Luggage and seats: cheap fares often include neither checked luggage nor seat selection.
  • Changes: fees and fare differences when the date or the participants change.
  • Meals on the way: expenses under your internal travel expense rules.

The travel time itself belongs in the trade-off, not in the budget: hours on a train or at an airport are missing for project work.

Example: six people, two nights

The calculation below uses only freely chosen planning values. It is not a market price, a booking offer or a proven client result. In the example, all six people need two nights; room hire and catering are budgeted for two days.

Synthetic budget in euros
ItemCalculationTotal
Return journeys6 × €180€1,080
Hotels6 × 2 nights × €110€1,320
Transfers in total6 × €30€180
Meeting room2 days × €250€500
Catering6 × 2 days × €35€420
Planned total costAll items€3,500

An example buffer of ten percent would add another €350, so the budget to approve would be €3,850. The buffer is a freely chosen planning assumption. It does not guarantee that price changes or additional requirements are covered.

How do you budget before offers are in?

An estimate is often enough for a first approval. Base it on prices of comparable trips, for example your last bookings on the same routes, and mark it as an estimate. As soon as current offers are in, replace the estimates item by item.

  • Booking time: train and flight prices often rise as the date gets closer; allow more for late bookings.
  • Trade fairs and major events: hotel prices in those weeks can be well above their usual level.
  • Weekdays: a meeting from Tuesday to Thursday can have different prices from one at the start of the week.

Note where each estimate comes from. Then everyone can see at approval which figures are already reliable.

What does the Coloqa comparison show?

Coloqa compares the travel and hotel costs it takes into account. That is not automatically the full event budget. In the calculation above, tickets and hotels come to €2,400 together; transfers, room hire and catering, budgeted separately, add another €1,100.

Where door-to-door planning already includes transfers in the travel costs, do not add them again. Check what is included and add only missing items. Room hire and catering belong in your supplementary budget planning.

Methodology and availability

How do you handle client and project budgets?

If travel costs are passed on to the client, agree beforehand which items the contract covers; there are often separate rules for hotel categories, travel classes or flat rates. Assign every booking to a project or cost centre so that the invoicing adds up later. For internal meetings such as workshops or a team offsite, the budget of your own unit usually applies.

How to settle these questions at the start of a client engagement is described in the project kick-off guide.

How do you decide between cheaper options?

Set travel time and emissions against the budget. A cheaper place may mean extra changes or another night. A rate described as flexible can still trigger fees or fare differences when you change it; check the actual conditions.

An estimate helps with the shortlist. Only current offers and their conditions allow a concrete booking decision. Historical prices are not a forecast of future costs.
